CANCELLATION POLICY

Life happens, we get it. All we ask is 24 hours notice if you need to cancel or reschedule. Less than that, and the full appointment fee applies.

To make changes, call the office or message your RMT directly (their contact info is at the bottom of your reminder email).

By clicking Book Now, you acknowledge and accept our cancellation policy and consent to your card on file being charged in the event of a violation.

BOOKING INFO / CREDIT CARD ON FILE

A valid credit or Visa/Mastercard debit card is required to hold every appointment, whether you book online or by phone. If you're calling to book, please have your card ready; it will be requested at the time of booking, no exceptions.

Your card is stored securely through a PCI-compliant processor. It will only ever be charged if there's a cancellation policy violation.

APPOINTMENT ATTENDANCE

We love when you pre-book! it helps you maintain consistent care and lock in the times that work for you. We just ask that you book with the intention to show up.

To keep our schedule fair and accessible for everyone, we ask that at least 80% of your booked appointments are attended as planned. Clients with repeated short-notice changes — even with 24 hours notice — may lose pre-booking privileges and be moved to a waitlist.

We appreciate you helping us take care of everyone who needs it.

DIRECT BILLING & INSURANCE

We're happy to direct bill many insurance providers for massage therapy and osteopathy.

A few things to keep in mind:

Please ensure you bring a form of payment to every appointment, sometimes the booking portals go down.
The Calm is not responsible for verifying your individual coverage. We strongly recommend confirming your benefits before your appointment. Our RMTs are eligible for direct billing under RMT-specific coverage. Treatments from our Osteopathic Manual Practitioner or Registered Nurse may not be covered (please check with your insurer directly).
If direct billing is unsuccessful for any reason, the full treatment fee is due at the time of your appointment. A receipt will be provided for manual reimbursement.
A credit card on file is required for all direct billing requests and will only be charged in the event of a cancellation policy violation.

BOOKING ON BEHALF OF SOMEONE ELSE?

Please create the appointment using their name and contact information, not yours. Accurate health records are a legal requirement and essential to safe treatment.

If the wrong profile is used, forms will need to be completed again on arrival, which may cut into treatment time.
